Privacy Notice
This notice explains how we use the information you give us when you visit this website or send us an enquiry. It is written in plain English. If anything is unclear, please email us.
Who we are
Nottingham Carpet Binding is a trading name of IJH INSTALLATIONS LTD, registered in England and Wales, company number 10616582. Registered office: 42 Racecourse Road, Oakham, Rutland, Leicestershire, England, LE15 7TF.
IJH INSTALLATIONS LTD is the controller of your personal information. For any privacy question or request, email iain@nottinghamcarpetbinding.com.
What we collect
When you use our enquiry form or email us, we receive:
- whether you are a trade or private customer, your name and email address
- your phone number and business name, if you give them
- details of the job: the finish you are interested in, approximate dimensions, postcode, how you would like to get the carpet to us, and your message
- up to three photographs, if you choose to attach them. Photographs can sometimes show your home or include hidden location data from your camera, so you may wish to remove that before sending
When you visit the site, our hosting provider and security services also process technical information such as your IP address, browser type and the pages requested.
How we use it and our lawful basis
- Replying to your enquiry and preparing a quotation — to take steps at your request before entering into a contract, or in our legitimate interests in responding to business enquiries.
- Carrying out and administering a job — to perform our contract with you.
- Keeping business and accounting records — to meet our legal obligations.
- Protecting the form from spam and abuse, and keeping the site secure — our legitimate interests.
We do not use your details for marketing, and we will not publish your photographs without asking you first.
How the website handles your enquiry
The website checks your enquiry and photographs, then passes them straight to our email provider to be delivered to our inbox. The website itself does not keep a database or a copy of your enquiry or photographs. Its error records contain only general error codes, not your enquiry details.
Your information is, however, processed by the service providers below while this happens, and the email then stays in our mailbox.
Service providers
- Zoho — Zoho's email-sending service delivers your enquiry to us, and Zoho Mail hosts our mailbox, where the enquiry email is then kept. Our sending account uses Zoho's European data centre.
- Cloudflare — Cloudflare Turnstile checks that the enquiry form is being used by a person rather than a bot. It processes signals such as your IP address, browser type and technical connection details, only for security.
- Lovable — hosts and runs this website. Lovable and its sub-processors, including Cloudflare, process technical request information such as IP addresses to deliver the site and keep it secure. Your enquiry passes through the hosting service on its way to Zoho, but the website does not store it.
The website's lettering is served from the website itself, so no font provider receives your details.
International transfers
Our email-sending service uses Zoho's European data centre, but that does not mean all processing stays in Europe. Zoho is a global group, and Cloudflare and our hosting provider run worldwide networks, including in the United States.
Where personal information is transferred outside the UK, these providers state in their data processing terms that they rely on recognised UK safeguards. These include the UK extension to the EU–US Data Privacy Framework for certified US companies, and standard contractual clauses with the UK International Data Transfer Addendum.
How long we keep information
- Enquiries that do not become jobs: We keep enquiries that do not result in a job, including attached photographs, for 12 months after our last meaningful contact. We review the mailbox monthly and manually delete records that have reached this limit. This review and deletion is a manual business procedure carried out in our mailbox — the website does not delete or clear emails automatically.
- Invoices and accounting records: We keep these for six years from the end of the company financial year they relate to, or longer where legally required.
- Job and contractual records: We normally keep job specifications, customer approvals and relevant correspondence for six years after completion. We retain relevant records longer where necessary for an ongoing dispute, an applicable guarantee or a legal obligation, and review and delete them when that need ends.
- Job photographs: We keep photographs needed to document the agreed work and its completion alongside the relevant job records. Images that are not needed are deleted sooner. Sending us a photograph is not permission to use it for marketing.
Zoho sending records: Zoho CPaaS retains email-sending logs for 60 days. Our account is also configured to save sent message content for up to 60 days. This is separate from the delivered emails held in our Zoho Mail inbox.
Cloudflare and our hosting provider keep limited technical and security logs for periods they set.
Cookies and similar technology
We do not use analytics, advertising or tracking cookies, and the website does not set any cookies itself. Your browser keeps a short-lived note of your scroll position while you move between pages, which is cleared when you close the tab.
When the enquiry form is active, Cloudflare Turnstile runs a security check on it. Cloudflare describes the information it collects as strictly necessary for detecting and blocking bots. If we add any non-essential cookies or tracking in future, we will ask for your consent first.
Your rights
You have the right to ask for a copy of your information, and to ask us to correct it, delete it, or restrict how we use it. You can also object to our use of it where we rely on legitimate interests, and in some cases ask for it to be transferred. Email iain@nottinghamcarpetbinding.com. We will normally reply within one month.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You can also complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or call 0303 123 1113.
